Position Description: Accounting Manager

Compensation:

Salary: $68,500 – $72,000 DOE

Position Overview:

The Accounting Manager will work closely with the Financial Director, Executive Director, staff, and Board of Directors to design, oversee and implement systems to ensure effective management of finances, office operations, and regulatory compliance (local, state, and federal). The position is a full time, non-exempt position. The position is integral to the day-to-day functioning and smooth operation of the finance team. Candidates are encouraged to apply who have strong nonprofit fund accounting skills,  fiscal management skills, the ability to work independently as well as part of a team, ability to communicate effectively with JOIN staff and participants as needed, Executive and Leadership Teams, volunteers and partners and exceptional customer service skills.

Specific Duties and Responsibilities:

  • Generate, track and submit timely financial reports for federal, state, county and private funding, including grants and donations
  • Maintain financial records for grant funds, bank accounts, fundraising software, fiscally sponsored agency and prepare monthly reconciliations
  • Using QuickBooks, prepare month-end close entries, program invoicing, fixed assets payables, and intercompany entries
  • Prepare monthly financial statements including statement of activities, statement of financial position, budget vs. actual, grant status and finance reports (terms, total awarded, amounts remaining)
  • Track expenditures by grant and generate financial reports and payment requests to grantors
  • Work with the Finance Director to support the organization’s annual audit, and special audits by government program review
  • Support payroll monthly execution and reconciliations
  • Completing analysis of the employee expenditures in third-party payment platform PEX
  • Manage income and expenditure accounts
  • Post and process journal entries to ensure all business transactions are recorded
  • Assist in the preparation of supporting documents for annual 990, CT-12 and other financial obligations as assigned
  • Staff support to Board of Directors Finance Committee
  • Assist the Finance Director and Board in developing annual budgets
  • Provide financial and administrative support for programs, including report preparation, report review and limited training
  • Maintain internal controls 
  • Other duties as assigned

 

Capacity Building and Office Administration 

  • Support and maintain complete and accurate grant files including applications, agreements, scheduled activities and accomplishments
  • Respond to information requests and distribute information
  • Maintain and update policies and procedures documentation for staff, grantors, and regulatory agencies
  • Oversee server backups and file archives
  • Assist in preparing annual work plan and annual reporting and participate in strategic planning activities that includes ongoing program development with staff and volunteer leaders
  • Assist Executive Director, Development Director and staff in identifying and pursuing new funding opportunities
  • Assist in maintaining databases for customers, donors, volunteers and partners
  • Assist in the implementation of new financial systems and internal control processes and procedures
  • Other responsibilities as assigned

 

 

Successful candidates will have: 

  • Bachelor’s degree in Accounting
  • 3+ years experience  as staff accountant in non-profit organization(s) with multi -government agency funding. Nonprofit fund accounting experience strongly preferred.
  • Experience with grant funding and contract administration
  • Knowledge and proficiency in QuickBooks, preference for QuickBooks Online including Non-Profit Edition.  Experience with Donor Perfect or donor management software preferred.
  • Experience with processing payroll and experience with third party payroll provider, ADP, preferred to serve as backup
  • Proven knowledge of standard accounting procedures and reporting
  • Computer proficiency in Microsoft Office & Google programs, including MS Word, and MS Excel, as well as G-Suite
  • Proven ability to work successfully in a team setting
  • Proficiency in written and oral communications
  • Self-directed, organized, detail-oriented with high level of accuracy in accounting duties
  • Effective time management
  • Experience working in non-profit organizations
